Description : BACKGROUND

The Offices of the Director General and Deputy Directors General (ODG/ODDG) currently utilize both manual physical and digital processes for document management. Physical logbooks reflect the audit trail of documents. This logbook is digitized through a Google Sheet for easy access and search. Meanwhile, 100% of the documents generated by and routed to our office are scanned and stored in a designated desktop. Physical equivalents of these documents are stored in a Records Room. Aside from the occasional uploading of vital digitized documents, there is no specific system in place for the online archiving of documents.

The Document Management System venture shall be composed of two tracks, namely the (1) Document Tracking System (hereafter referred to as "DTS") and the (2) Document Archiving System (hereafter referred to as "DAS").

The DMS shall be developed by an outsourced provider and shall be deployed to the ODG/ODDG. The DMS-Track 2 shall be developed parallel to Track 1 and via Google Workspace.
